HR, LEGAL AND EXECUTIVE ASSISTANT

We are looking for a highly capable and dynamic Executive Assistant to support the organization and a number of senior executives in our Malvern, PA headquarters. As the HR, Legal and Executive Assistant, the person in this role will provide general human resources support to all US employees and will provide direct support to the head of Human Resources, the General Counsel, the CEO and the CFO. Ideally we would like someone who has supported both Legal and Human Resources professionals, but would certainly consider someone with experience in one of these fields who has had exposure to contracts, is a quick study and committed to learning new skills.

Main Responsibilities:

Human Resources Support:


  • Provide benefits administration support including:


    • Manage benefits enrollment process and handle periodic compliance matters.
    • Provide support and handle employee communications, inquiries and issues.
    • Maintain record of employee attendance.

  • Recruitment:


    • Assist in coordinating of job ads.
    • Coordinate candidate interview scheduling.
    • Provide support in conducting background/reference checks.
    • Manage new hire orientation and set-up processes.

  • Employee Relations:


    • Provide support in responding to employee training requests, motivational activities, and company sponsored meetings and events.
    • Assist with development, communication, interpretation and compliance with company employee policies and procedures.
    • Maintain personnel files for US based employees.
    • Assist in salary administration processing and record keeping.
    • Assist in the design, launch and maintenance of an employee incentive program.

Legal Support:


  • Maintain and organize legal files, including agreements, patents and trademarks.
  • Assist with preparing certain legal forms using templates.
  • Review, track and coordinate the legal billing among General Counsel, outside law firms and PuriCore Finance group.
  • Assist with PowerPoint presentations.
  • Take minutes of meeting and disseminate as necessary.
  • Assist with corporate contract execution.
  • Assist with reporting requirements and access US and UK regulatory websites.
  • Conduct research via internet and other sources.

Support CEO, CFO, General Counsel and Human Resources lead in an administrative capacity. Duties may include, but are not limited to:


  • Setting up and maintaining files, documents and records of a complex nature.
  • Managing calendars, scheduling meetings, preparing expense reports, making travel arrangements, mail distribution and handle filing.
  • Setting up or maintaining records via excel spreadsheets.
  • Handling various invoices and agreements.
  • Providing backup on answering company phone lines.
  • Tracking multiple projects with differing priorities and report status and results.

Key Qualifications:


  • 6+ years of Executive Assistant experience (including scheduling, calendar management, original correspondence creation, etc.).
  • High level of proficiency in Microsoft Office programs, including Outlook, Word, Excel and PowerPoint.
  • Experience in the support of Lawyers (at firm or in-house legal), Human Resources or Corporate Executives needed.
  • High level of professionalism and ability to maintain absolute confidentiality.
  • Knowledge of human resources practices and policies, including benefits administration, strongly preferred.
  • Exceptional organizational skills and ability to work in a fast-paced environment where deadlines are priority and handling multiple jobs simultaneously is the norm.
  • Experience in conducting internet research.
  • Initiative and ability to work autonomously and proactively and make sound judgments.
  • Positive attitude and supportive, team-oriented approach, along with a willingness to do whatever is necessary to get the job done.
  • Strong attention to detail and exceptional follow-through skills.
  • Excellent grammar and proof reading skills.
  • Excellent interpersonal skills, including ability to adapt style and communication to other team members, including employees and third party business partners.
